AI Appointment Booking for Salons, Spas & Med-Spas

An AI scheduling agent that books clients into your real calendar while you're mid-cut, mid-facial, or closed for the night — capturing every after-hours request with next-morning follow-up, and never double-booking a chair. Guardrails enforced in code, not in a prompt.

Every missed call is a client who rebooks elsewhere

Salon and spa revenue lives on the chair schedule — but the phone rings exactly when your hands are full or the doors are locked.

Calls missed mid-service

You're elbows-deep in a color job or a facial. The desk phone rings out, the caller doesn't leave a message, and by tomorrow they've booked with whoever answered first.

After-hours booking requests

Clients plan their self-care at 9pm. Voicemail captures nothing actionable, and by morning the best slots on Saturday have already gone somewhere else.

Double-booked chairs & rooms

Two clients penciled into the same stylist at the same time means one walks out angry and one sits waiting. Paper books and shared calendars don't prevent it.

A scheduling agent with hard guardrails in code

Our Scheduling Agent runs around the clock, but every booking decision passes through deterministic guardrails the language model cannot override. Here's what that looks like for your book:

Guardrail (enforced in code)What it does for your calendar
Business hours & slot gridRequests outside your configured hours or off your slot grid are rejected before they touch the calendar — no 11pm "bookings" sneaking past closing time.
Double-booking protection with owner escalationAn overlapping request is refused, not silently overwritten. Repeated slot conflicts surface a capacity recommendation to you as the owner — often the signal that a stylist needs more room.
Valid booking confirmationEvery confirmed booking carries its service, provider, and time — so confirmations and reminders go out against real calendar state, not guesses.
Duplicate-slot conflict rejection + counter-offerWhen a slot conflicts, the client doesn't get a dead "no" — they get concrete alternative slots offered back immediately.

In our simulated dry run of this exact agent stack, over a 14-day synthetic window: 55 booking requests → 20 booked, 35 guardrail rejections, zero double-bookings and zero off-hours slips (simulated estimate). Full dry-run report available on request — see the live demo scenario.

After-hours capture with next-morning follow-up

Most after-hours calls aren't urgent — they're clients who finally had a minute to book their next visit. The agent takes every one of them, then hands them to you cleanly:

Captured 24/7

Inbound booking requests are taken around the clock — evenings, weekends, holidays. Nothing hits voicemail, and nothing is promised before you've seen it.

Self-serve slot selection

The client picks from open slots on your owner-defined business-hours grid. The agent offers real availability from your configured hours — never times you didn't approve.

Next-morning follow-up

Anything that couldn't be resolved overnight — off-grid time requests, ambiguous services, special occasions needing extra time — is escalated to you the next morning with full context attached. The agent doesn't improvise.

Confirmed instantly when valid

Once a valid slot is chosen within your rules, the booking is confirmed on the spot with double-booking protection enforced in code — overlapping requests get counter-offered alternatives, never silent overwrites.

What it deliberately does not do

For med-spas especially, scope discipline isn't optional. These limits aren't prompt suggestions — they're guardrails enforced in the agent's action layer, and every blocked action carries a machine-readable reason.

No medical or aesthetic advice

The agent schedules appointments and answers logistical questions. It will not assess skin concerns, recommend treatments, compare procedures, or answer "which of these is right for me?" — those requests are escalated to your licensed staff. This matters most for med-spa deployments, but applies everywhere.

No price quoting without owner-set rules

Pricing answers come only from the service menu and rules you approve. Anything outside it — custom packages, group rates, discounts — gets escalated to a human, not improvised.

No outbound client outreach without approval

The agent responds to inbound requests. Reminder and confirmation workflows run only within the rules you sign off on — a no-contact guardrail enforced in code makes unsolicited outreach structurally impossible.

Every decision leaves an audit record

Each interaction writes an outcome record — what came in, what was decided, why. Bookings, rejections, and escalations are all attributable to a request ID. See Trust & Operating Principles.

Common questions from salon & spa owners

Can it take bookings while we're closed?

The agent captures inbound requests around the clock, but it can only confirm bookings inside the business hours and slot grid you define — anything else is rejected in code. Unresolved requests (off-grid times, ambiguous services) are escalated to you the next morning with full context, so nothing waits silently in a voicemail box.

Will it ever double-book a stylist or treatment room?

No. Overlapping bookings are rejected deterministically by code-level overlap checks the language model cannot override. When two requests collide, the second client receives alternative slots as a counter-offer, and repeated conflicts on the same slot are surfaced to you as a capacity signal.

We're a med-spa — will it give clients treatment advice?

No. The agent handles scheduling and logistics only. It will not assess skin concerns, recommend treatments, or discuss procedure suitability — those conversations belong to your injectors, aestheticians, or medical director. Requests for advice are escalated to your staff, and every blocked action carries an audit record.

Can it quote prices over the phone?

Only from the service menu and pricing rules you approve in advance. Anything outside that scope — discounts, custom packages, "how much would a full day of bridal work cost?" — gets escalated rather than improvised.

Will it call or text my clients on its own?

No. Outbound contact runs only through reminder and confirmation workflows you've explicitly approved. A no-contact guardrail enforced in code means the agent is structurally incapable of initiating outreach outside that approved scope.
