AI Scheduling for Home Service Businesses
An AI scheduling agent that answers after-hours calls while your techs are on jobs, books into your real calendar without double-booking, and confirms every appointment — with guardrails enforced in code, not in a prompt.
Every missed call is a job your competitor takes
Home service shops live on emergency demand — but the phone rings exactly when nobody can pick it up.
Emergency calls at 9pm
A burst water heater or dead furnace doesn't wait for business hours. After-hours callers hit voicemail, and by morning they've already booked the first plumber who answered.
Double-booked dispatch calendars
Two techs penciled into the same slot means a canceled customer, a wasted truck roll, and an angry review. Shared calendars and sticky notes don't scale.
Missed callbacks
"I'll call them back after this job" turns into never. Unconfirmed appointments no-show, reschedule requests pile up, and the front desk drowns in phone tag.
A scheduling agent with hard guardrails in code
Our Scheduling Agent runs around the clock, but every booking decision passes through deterministic guardrails the language model cannot override. Here's what that looks like in practice:
| Guardrail (enforced in code) | What it does for your calendar |
|---|---|
| Business hours & slot grid | Requests outside your configured hours or off your slot grid are rejected before they touch the calendar — no 3am "bookings" sneaking through. |
| Double-booking prevention | An overlapping request is refused, not silently overwritten. Repeated slot conflicts surface a capacity recommendation to you as the owner. |
| Valid booking confirmation | Every confirmed booking carries its details plus lessons learned from buffer patterns, so recurring timing problems get surfaced instead of buried. |
| Duplicate-slot conflict rejection + counter-offer | When a slot conflicts, the caller doesn't get a dead "no" — they get concrete alternative slots offered back immediately. |
In our simulated dry run of this exact agent stack, over a 14-day synthetic window: 55 booking requests → 20 booked, 35 guardrail rejections, zero double-bookings and zero off-hours slips (simulated estimate). Full dry-run report available on request — see the live demo scenario.
After-hours & self-serve booking, on your terms
Most after-hours requests aren't true emergencies — they're customers who finally had time to call at 8pm. The agent captures every one of them, then puts the calendar in the customer's hands without ever breaking your rules:
Captured 24/7
Inbound requests are taken around the clock — evenings, weekends, holidays. Nothing hits voicemail, and nothing is promised before you've seen it.
Self-serve slot selection
The caller picks from open slots on your owner-defined business-hours grid. The agent offers real availability from your configured hours — never times you didn't approve.
Confirmed instantly
Once a valid slot is chosen, the booking is confirmed on the spot with double-booking protection enforced in code — overlapping requests get counter-offered alternatives, never silent overwrites.
Edge cases wait for you
Genuine emergencies, off-grid time requests, or anything ambiguous is escalated to you the next morning with full context attached — the agent doesn't improvise.
What it deliberately does not do
No dispatching your employees
The agent books and manages slots on your calendar. Routing trucks and assigning techs stays with you and your dispatch process.
No quoting beyond your approved rate card
Pricing answers come only from the rate card you approve. Anything outside it gets escalated to a human, not improvised.
No outbound customer outreach without approval
The agent responds to inbound requests. Reminder and follow-up workflows run only within the rules you sign off on.

Simulated estimate — illustrative model, not a quoteCommon questions from home service owners
Can it answer after-hours emergency calls for my plumbing company?
Yes — the agent handles inbound requests around the clock. Emergency requests outside business hours are captured and either slotted into the next valid opening or flagged to you, depending on the policy you configure. Off-hours bookings are rejected in code unless you explicitly allow them.
Will it ever double-book a technician?
No. Overlapping bookings are rejected deterministically by code-level overlap checks the language model cannot override. When two requests collide, the second caller receives alternative slots as a counter-offer, and repeated conflicts on the same slot are surfaced to you as a capacity signal.
Does it replace my dispatcher?
No. The agent manages the calendar: capturing requests, preventing conflicts, confirming appointments. Dispatch decisions — which tech, which truck, which route — remain yours. Think of it as a front desk that never sleeps, not a dispatcher.
